Getting Started with WinVEO

Congratulations! With WinVEO you can capture and store your valuable information into an electronic record. The electronic record generated will be in a VERS VEO format which helps to retain the integrity and accessibility of the information over time. Have a look at www.vers.com.au or www.prov.vic.gov.au/vers to learn more about VERS.

So let’s get started!

STEP 1: Download the WinVEO program.

STEP 2: Install the program.

STEP 3: Install a digital certificate. One way to do this is to request a trial personal digital certificate from Verisign at http://www.verisign.com/client/enrollment/index.html. You can always select a certificate that will last you for a year but there are some costs involved.

STEP 4: Once you have the digital certificate installed then set the preference in WinVEO, via Tool -> Preferences. The preferences allow you to customize your use of the product. Refer to the online help text by pressing Help or F1 key on your keyboard.

STEP 5: To minimize the amount of data you need to enter for your record, WinVEO uses templates to preset information within every record you create. You can have any number of templates depending on the number of different needs you have. WinVEO comes with an example template, so let’s load this up now to give you the idea of how it works. Select File -> Open and select the file shown.

STEP 6: Add a document.

Now you are ready to capture your document(s) with WinVEO. Select New from the action bar and pick the template you wish to use.

Now right click the mouse button and select add document.

Notice how WinVEO shows you what required information is required in the record. To open this window select the View Required Items from the View menu on the action bar.

Select a document from the file system and then WinVEO will attempt to create a PDF rendition of this file. You can add as many documents as you like.

Complete the metadata items to properly describe the documents and records.

STEP 7: Store your record.

Select the Save or Save As action from the File menu. Name your record and store the VEO into the appropriate directory. This action will use the digital certificate selected in your preferences file to sign the record.

STEP 8: Verify your record.

The record is reloaded and you can test to ensure that the digital signature works correctly. If the record still has integrity then this is shown at the top in the title field. If verification fails then all the text shown on the screen changes to a red colour.

STEP 8: You have now stored a VERS Electronic Record successfully.

Congratulations! You now have captured an electronic record in a VERS format, a VEO (VERS Encapsulated object).
