The WinVEO program is designed to help you capture copies of your important computer files, particularly documents and email and store them in a way that will help to preserve them for a very long time. This is very important for those key documents that you can't afford to lose.
The problem with computers, media and software is that they all become out-of-date so quickly. A document stored today using
current software may be unreadable in less that a few years. If the document contains critical information then this may be a very serious loss.
In the late '90s the Public Record Office Victoria realised that this was going to be a problem and so commenced the Victorian Electronic Records Starategy. A standard was developed (PROS 99/007 - http://www.prov.vic.gov.au/vers) and published in 2000.
WinVEO is an exciting new program that displays and captures VEO’s (VERS Encapsulated Objects) and all of the metadata associated with it. To find out more about how the VEO is put together refer to www.prov.vic.gov.au/vers.
Using a simple tree structure, you will be able to navigate throughout the VEO, and be able to view the files encapsulated within. WinVEO also has the capabilities to verify that the VEO has not been tampered with.
The WinVEO software has been proudly developed by VERS Pty Ltd.

Viewing VEOs
- Tree view display, showing all metadata in the VEO
- Displays all metadata for the current specification of the VERS standard (Version 1.2 and 2.0)
- Layer frame, which shows all the layers of the VEO. Clicking on each layer displays the metadata only for that layer, allowing you to quickly compare data between layers by selecting them from the frame.
- Details of the history of the VEO. Management history, Preservation History, Use History and Transaction history are all shown in dialogs that collate the metadata and present it in an easy to read format.
- View all documents in a VEO. View documents from any layer, so you can see any additional documents and when they were added or removed.
- Verify the VEO against the latest version of the VERS DTD.
- Verify the digital signature and ensure that the VEO is valid and hasn’t been tampered in any way. If the VEO fails to validate, WinVEO will display which layer failed to validate, so you’ll know which layer has been tampered with.
Creating VEOs
- Use a grid to enter user data quickly and efficiently (WinVEO uses a grid much like an excel worksheet)
- All metadata currently supported by the VERS Specification can be entered
- Create VEOs based on either the VERS Standard Version 1.2 or Version 2.
- Data entry in WinVEO is quicker as any fields in WinVEO are restricted to allow only acceptable values
- Most fields can be repeated, as determined by the VERS metadata specification.
- Uses templates to fill out default properties. By using templates you can speed up the creation of VEOs vastly.
- Uses required items to make sure that the fields you want to include in each VEO must be included before the VEO can be saved. By default, the required fields are based on the VERS Standard Version 2 required items.
- Add documents to your new VEO, as well as convert them to PDF and add the resulting files.
- When saving, WinVEO validates the VEO against the VERS Specification and ensures that all the metadata exists before saving the VEO.
- WinVEO will digitally sign the final VEO and ensure it’s compliant with the VERS DTD.
